Opening Cortado Workplace

• To use Cortado app you require iOS 5.0 firmware or higher.
  
  
• After installing you will find the app in the main menu of your iOS device.
  
  
• Open Cortado Workplace via its application icon.
  

Registration

• When first starting the app, tap on REGISTER.
  
  
• After successfully registering, you will receive a welcome e-mail with your Cortado ID, consisting of your e-mail address and a password.
  
  
• Your Cortado ID enables access to the Cortado Cloud Central portal where among others you can change your password or book premium services.
  

Login

• If you already have a Cortado Workplace account, tap on LOGIN.
  
  
• Enter your Cortado ID (the e-mail address with which you registered and your password). Enable the option KEEP ME LOGGED IN, if you wish not to reenter your Cortado ID.
  
  
• With your Cortado ID you have access from various mobile devices (via the Cortado apps for iOS, Android and BlackBerry devices) to your Cortado Workplace. Also, you can access your Cortado Workplace via PC or Mac using the HTML5 version.

Upload Files to Your Workplace Drive

• Save Documents from Pages / Notes / Keynote to Cortado »

• Save Photos in Cortado, taken with your iPhone camera.

• Copy files from LOCAL DRIVE and paste here. See Manage Files »

• Forward e-mail attachments to save@workplace.cortado.mobi¹. In the folder MAIL, you can find all e-mail attachments.

Local Drive

• Use this directory for documents saved locally on your device.
  
  
• Files in this directory are automatically encrypted.²
  
  
• In the folders SCANS and WEB PAGES you can find web pages and photos saved as PDF files. See Saving Web Pages as a PDF/Scan-to-PDF »
  
  
• In the INBOX² folder you can find e-mail attachments that you forwarded from your e-mail application to your CORTADO app. See Open E-Mail Attachments in Cortado »

Auto Download

• Files that are in your online storage (Workplace directory) can be downloaded to the Auto Download local directory.
  
  
• The destination folder is automatically updated with changes made to files in the source folder. As a result, you always have access to these files even if no internet connection is available for example.
  
  
• To use this feature, open the desired folder in the Workplace directory:
  

  	Tap on this icon to create a copy of the folder and the files that it contains.
  	Tap instead on this icon to create a copy of the folder including all files contained within the folder.

• If the Auto Download feature is enabled, the icon appears green.
  
  
• By tapping again on the icon, you can deactivate the feature.
  
  
• The destination folder can now be found in the Auto Download directory.
  
  
• Tap on the toolbox icon on the bottom right in the start menu of the Cortado app to set whether automatic updates should only take place when your device is in a Wi-Fi network.
  
  

Quick Start

• FAVORITES: Here you will find the folders you designated as Favorites.
  See Add Favorites »
  
  
• SCAN: An image that you capture here is stored as a PDF file.
  See Scan-to-PDF »
  
  
• WEB: Here, you can make screenshots of web pages and save them as a PDF-file. See Saving Web Pages as a PDF »

Add Folders

• Open a directory (for example Workplace) by tapping on it briefly.
  
  
• You can then see the subfolders and files saved here.
  
  
• To add a new folder, tap on the folder symbol with a plus in the lower left of the display.
  
  
• Enter the new folder name and confirm with OK.

Search for folder or file names

• In a previously selected folder, you can search for a folder or file names.
  
  
• Tap the magnifying glass icon at the bottom left in the display and then enter the folder or filename (or part of the name).
  
  
• Then tap on SEARCH in the bottom right of the display.
  
  
• Then all files and folders with this name will be displayed

Manage Folders

• Delete: Then tap on DELETE. The selected folder will then be deleted.
  
  
• Create ZIP files: Tap on ZIP to create a ZIP file for the selected folder.
  
  
• Rename: Tap on RENAME and enter the new folder name. Confirm with FINISH.

Add Favorites

• Tap briefly on the folder that you want to add to FAVORITES. Then tap on the blue icon in the upper right of the display.
  
  
• You can now find the folder in FAVORITES. See Quick Start »

File Options

	Preview/Open Tap on this icon to generate a preview of the entire file or to open the file for editing. See Preview/Open Files »
	Printing Print files saved locally on your device or saved on the Workplace directory. See Printing »
	Sending files as e-mails You can send files from your CORTADO client via e-mail. See Sending files as e-mails »
	Export Here you can export files into another format. For example a Word document can be exported into a PDF. See Exporting Files »
	Open ZIP files  You can open .ZIP files in order to then edit the contents. See Open ZIP Files »

Manage Files

• Cut/Copy/Paste: Then tap on CUT or COPY. The selected file is copied to the clipboard. Navigate to the target directory or folder and long tap it. Then select PASTE.
  
  
• Delete: Then tap on DELETE. The selected file will then be deleted.
  
  
• Create ZIP file: The ZIP file is automatically saved in .zip format to the same folder.
  
  
• Rename: Tap on RENAME and enter the new file name. Confirm with FINISH.

Preview/Open Files

• Select a file by short tapping it and then tap on the PREVIEW/OPEN icon. See File Options »

• If you want to create a preview of the file, select QUICK LOOK.

• If however you want to edit the file, select one of the apps listed on your device suitable for editing the corresponding file format. For example, an open Word document can then be imported to Pages for further editing.

Open ZIP Files

• Tap briefly on the .ZIP file in your Workplace directory, then tap on the icon to open .ZIP files. See File Options »

• Now you can access the data contained in the .ZIP file.

• Note: Files in .ZIP format cannot be opened in the “Local Drive” directory. Copy .ZIP files and paste them to the Workplace directory in order to open them.

Printing

• Select a file by short tapping it. Then tap on PRINT icon.

• Under LAST USED PRINTERS you can find all printers that you have previously chosen or added as favorites.
  
  
• Select one of these printers and then tap on PRINT. The print process is initiated.
  
  
• To choose other printers, or to add them manually, tap on ADD MORE PRINTERS.
  
  
• All printers available in the Wi-Fi network are displayed here. Here you can choose one of the displayed printers. Then the printer will be added to the list of LAST USED PRINTERS.
  
  
• You also have the option to add a new printer manually to the list. To do so, tap on the plus icon in the upper right of the display.
  
  
• Then enter network name or IP address of the printer and the respective model for your printer.
  
  
• Then tap on SAVE. The printer will also be added to the list of LAST USED PRINTERS.
  
  
• Tap on PRINT. The print process is initiated. You can now print a test page.
  
  

• In order to print in your private Wi-Fi network you require a Wi-Fi router that supports a printer connection (e. g. Apple AirPort). For further information, consult your Wi-Fi router manual.
  
  
• Please ensure that the printer as well as your mobile device is connected via Wi-Fi. You can now print directly via Wi-Fi with Cortado Workplace without having to turn on your computer. If you have connected your printer to an Apple AirPort Express or Extreme router, your printer will be found automatically.
  
  
• If your iPhone does not automatically detect your printer, enter your Wi-Fi router's IP address. Many routers have 192.168.1.1 as their IP address. For further information, consult your Wi-Fi router manual.

Sending Files as E-Mails

• Select a file by short tapping it. Then tap on E-MAIL icon.

• You can now either enter an e-mail address or, by taping on the blue plus icon, select an e-mail address from your contacts.
  
  
• Then tap on SEND.

Exporting Files (e.g. to PDF)

• Select a file by short tapping it. Then tap on EXPORT icon. See File Options »
  
  
• Then tap on one of the listed export formats (e.g. PDF).
  
  
• The chosen file will then be converted and saved in the selected format, under the same name, in the same folder / directory.

Open E-mail Attachments in Cortado

• Open the e-mail application on your iPad and then the e-mail with the attachment you want to save.

• In the opened attachment, tap on the icon in the upper right of the display, then on OPEN IN... and then on CORTADO.

• The Workplace app then opens automatically and the Inbox folder (if not already existing) is created in the Local Drive directory.

• Your e-mail attachment now is in the Inbox¹ folder.

Save Documents from Pages / Notes / Keynote to Cortado

• You can save files from other applications such as “Pages” to Cortado Workplace.

• Tap in Pages on the tool icon in the top right of the display.

• Then tap on “Share & Print” and then choose “Open in Another App”.

• Then choose the format in which you want to save your document (such as Word).

• Tap on “Choose App” and then on “Open in Cortado”.

• You can now find your document in the “Local Drive” directory in the “Inbox” folder.

Save Photos in Cortado

• Open the photo app on your iPhone/iPod touch and select a photo that you want to save to your Cortado app.

• Then tap the button in the lower left of the display, and then on COPY.

• The photo is now on the clipboard.

• Now close the photo app and open the Cortado app.

• Navigate to a drive and if required, a folder where you want to save your photo.

• In the drive or folder, long tap for a moment.

• Then tap on PASTE.

Saving Web Pages as a PDF

• At quick start access, tap on WEB. See Quick Start »
  
  
• Enter an internet address in the web browser, and confirm with GO.
  
  
• Then tap on the camera icon in the upper left of the display.
  
  
• A PDF file is then created in the WEB PAGES folder in your local drive. Tap on GO TO PDF to open this folder.
  
  

• At quick start access, tap on SCAN. See Quick Start »
  
  
• After photographing the object such as a contract or a brochure, a preview will be displayed.
  
  
• As soon as you tap USE in the lower right of the display, a PDF file will be stored on your local drive in subfolder SCAN. Now it can be:
  
  
  • Printed (see Printing »)
  • Send as an e‑mail (see Sending files as e‑mail »)
  • Copied to your Workplace directory (see Manage files »)
