  • Connect your Workplace storage as a cloud drive to your PC or Mac with just a few clicks and with no installation of software necessary. How it works for Mac | PC

  • Alternatively, with the Cortado Web Explorer you can conveniently access your Workplace account from any computer. Login at: www.cortado.com/myworkplace
    Please make sure, that is when sending documents to your Cortado account, the sender is your registered Workplace e-mail address. Otherwise the attachment cannot be matched to your Workplace account.

 



Cortado Workplace on your iPhone/iPod touch



Opening Cortado Workplace

  • To use Cortado you require iOS 4.0 firmware or higher.

  • After installing you will find the application “Cortado Workplace” in the main menu of your iOS device.

  • Open Cortado Workplace via its application icon.

Registration

  • When you open Cortado Workplace for the first time, you will be prompted to register.

  • After you registered successfully you will receive a welcome with your login credentials. Please read the e‑mail instructions carefully.

Login

  • If you already have a Cortado Workplace account, navigate from the NEW USER page to the LOGIN page by tapping on the icon in the bottom right of the display.
Multi device support
  • You can use the same Workplace account on different devices (e. g. iPad or BlackBerry).

  • Enter your e-mail address and your password to login.

Quick start

  • FAVORITES: Here you can add all those folders to which you want to be able to navigate directly.

  • WEB: Here, you can make screenshots of web pages and save them as a PDF-file. See Save web pages as a PDF »

  • SCAN: An image that you capture here is stored as a PDF file. See Scan-to-PDF »

Accessing folders and files

  • LOCAL DRIVE: Use this directory for documents saved locally on your device. In the INBOX1 subfolder you can find for example e-mail attachments that you forwarded using the OPEN IN CORTADO function from your e-mail application to your CORTADO client. See Open E-Mail Attachments in Cortado »

  • WORKPLACE: Use this directory to access files and folders saved in your personal password-protected online storage. You can also link the Cortado Workplace directory to your Mac or PC via WebDAV or copy files to there from your "Local Drive" directory.
  • CORTADO MAIL: You can find here all e‑mail attachments that you have forwarded to your Cortado Workplace. To do so, forward the respective e‑mail to save@workplace.cortado.mobi.

    Please note: When sending documents to your Cortado account the sender's e-mail address must resemble the registered Workplace e-mail address. Otherwise the e-mail attachment can't be assigned to your Workplace account.

Organizing folders

  • Selecting folders/drives: Tap on the required directory or folder. If you wish to move to the previous level, tap on the folder icon with the orange arrow in the upper left of the display.

  • Creating a new folder: Tap on the TOOLS icon in the lower right of the display and then on the NEW FOLDER icon. Name the folder and confirm with FINISH.

  • Renaming folders: Long tap a folder, then choose TOOLS and then the RENAME icon. Enter the desired name and confirm with FINISH.

  • Deleting folders: Long tap a folder. Then choose TOOLS and then the DELETE icon. Tap on the red icon in front of the file and then on DELETE.

File functions


Select a file by short tapping it and then choose the TOOLS icon in the lower right of the display. You then have the following options:

Preview 
Tap on the VIEW icon to see the whole file.
Renaming 
Tap on the RENAME icon and enter the new file name. Confirm with FINISH.
Refreshing 
Tap on the REFRESH icon.
Deleting 
Tap on a file or folder and then the DELETE icon. Tap on the red icon in front of the file and then on DELETE.
Filtering 
Tap on the SEARCH icon and then partially enter the name of the required file or folder. Then tap on SEARCH.
Printing
Print files saved locally on your device or saved on the company server. See Printing »

    Managing files

    • Cutting or copying files: First tap the file and keep your finger on the file for a moment. When you take your finger away from the file, the various options will then be displayed.

    • Pasting files: Select the required option and navigate to the required directory. Keep tapping the screen until the PASTE option appears.

    Encrypt files

    To protect your locally saved documents if the device is stolen, the option is available to encrypt individual or all documents.
    • You can activate encryption for all documents in your general settings (see: Apple support »).

    • To encrypt individual documents in your Local Drive1 directory, long tap the file. Then choose MORE and then ENCRYPT.

    • The encrypted document can be recognized by the lock icon (you may need to refresh the view).

    • Follow the same steps and choose DECRYPT to decrypt the document.

    Edit files

    • If you wish to further edit a document that has been saved to your Workplace, open it by tapping twice.

    • A tap appears at the top of the screen. The buttons OPEN IN… are located there. At this point a list of programs available for editing the relevant file format on your device appear. An open Word document can then be imported to Pages for example for further editing.

    Open e-mail attachments in Cortado

    • Open the e-mail application on your iPhone or iPod touch and then the e-mail with the attachment you want to save.

    • In the opened attachment, tap on OPEN IN... and then on CORTADO.

    • The Workplace app then opens automatically and the Inbox folder (if not already existing) is created in the Local Drive directory.

    • Your e-mail attachment now is in the Inbox1 folder.

    Sending files as e‑mails

    • Select a file by short tapping it and then choose the TOOLS icon in the lower right of the display.

    • Tap on the icon "Send files as e-mail" and then on the icon E-MAIL.

    • You can now either enter an e-mail address or, by taping on the blue plus icon, select an e-mail address from your contacts.

    • Then tap on SEND.

    Printing

    • Select a file by short tapping it and then choose the TOOLS icon in the lower right of the display.

    • Then tap on the icon PRINTING.

    • Under KNOWN PRINTERS you can find all Wi-Fi printers that you have previously chosen or added as favorites.

    • Select one of these printers and then tap on PRINT. The print process is initiated.

    • To choose other printers, or to add them manually, tap on „Manage Wi-Fi Printers”.

    • All printers available in the Wi-Fi network are displayed here. Here you can choose one of the displayed printers. As soon as you tap on one of these printers, the print process is initiated.

    • You also have the option to add a new printer manually to the list.

    • To do so, tap on ADD NEW PRINTER, enter the printer name and IP address.

    • Then tap on "Select Printer Type" and choose the manufacturer and then the respective driver for your printer.


    Printing in private Wi-Fi network:
    • In order to print in your private Wi-Fi network you require a WiFi router that supports a printer connection (e. g. Apple AirPort). For further information, consult your Wi-Fi router manual.

    • Please ensure that the printer as well as your mobile device are connected via WiFi. You can now print directly via Wi-Fi with Cortado Workplace without having to turn on your computer. If you have connected your printer to an Apple AirPort Express or Extreme router, your printer will be found automatically.

    • If your iPhone does not automatically detect your printer, please select ADD PRINTER and enter your WiFi router's IP address. Many routers have 192.168.1.1 as their IP address. For further information, consult your WiFi router manual.

    Save web pages as a PDF

    • At quick start access, tap on WEB.

    • Enter an internet address in the web browser, and confirm with OPEN.

    • Then tap on the camera icon in the lower right of the display.

    • A PDF file is then created in the WEB PAGES folder in your local drive.


    Scan-to-PDF2
    • At quick start access, tap on SCAN.

    • After photographing the object such as a contract or a brochure, a preview will be diplayed.

    • As soon as you tap USE, a PDF file will be stored on your local drive in subfolder INBOX1. Now it can be:

      1 Files saved to the INBOX folder cannot be encrypted. First copy & paste these files to another folder in the Local Drive directory.
      2 Scan-to-PDF can not be used with the iPod touch as it has no camera.
